This Data Collection Policy supplements our Privacy Policy and describes the categories of data Easigent collects, why we collect it, and how long we typically retain it. It applies to our marketing site (easigent.com), application (app.easigent.com), and APIs (api.easigent.com).
This document is provided for product transparency and compliance with platform requirements. It may be updated over time and is not a substitute for independent legal advice.

1. Data categories we collect
Account and authentication
- Email address, name (if provided), authentication identifiers from our auth provider
- Session tokens / cookies used to keep you signed in to the dashboard
Organization and business profile
- Organization name, timezone, industry
- Services, hours, tone, policies, and other profile fields you configure
- Agent settings (voice, greeting, routing, notification preferences)
Knowledge base
- Documents you upload (e.g. PDFs) and website content you ask us to crawl
- Derived chunks/embeddings used for retrieval during calls
Telephony and call content
- Business and caller phone numbers, call SIDs, timestamps, duration, direction
- Call audio recordings and generated transcripts
- AI-generated summaries and extracted lead fields
Leads and CRM-like records
- Names, emails, phones, notes, and outcomes captured from conversations
Calendar and bookings
- Google account email for a connected calendar
- Encrypted OAuth tokens for Google Calendar access
- Booking metadata (title, times, customer contact details, service, notes) and Google Calendar event IDs

- Transactional emails and related metadata (e.g. call summaries, alerts) processed via our email infrastructure
Device, logs, and diagnostics
- IP address, user agent, request logs, error logs, and performance metrics

2. Purposes of collection
- Service delivery — operate AI phone agents, knowledge retrieval, booking, notifications, and the dashboard
- Account administration — authenticate users, manage organizations, and provide support
- Security and reliability — monitor systems, prevent abuse, debug failures
- Product improvement — understand feature usage at an aggregate or operational level to improve quality (not for selling data or advertising from Google user data)
- Legal compliance — meet regulatory, tax, and law-enforcement obligations when required
3. Cookies and similar technologies
Marketing site (easigent.com)
The marketing site is primarily informational. We may use essential cookies or similar technologies required for hosting, security, load balancing, or basic site functionality (for example via Cloudflare). We do not currently use third-party advertising cookies on the marketing site. If we add analytics in the future, we will update this policy and, where required, provide consent controls.
Application (app.easigent.com)
The dashboard uses essential cookies (and related storage) for authentication/session management and preferences such as the active organization. These are necessary for the product to function and are not used for cross-site advertising.
4. Sources of data
- Directly from you (account setup, configuration, uploads, support emails)
- From callers interacting with your AI phone agent
- From integrations you authorize (e.g. Google Calendar)
- From service providers operating telephony, speech, AI, email, and hosting
- Automatically from browsers/devices when you use our sites and APIs
5. Retention overview
- Account / org data — retained while the account is active; deleted or anonymized after account deletion subject to backup and legal holds
- Call recordings / transcripts / leads — retained for your operational use while the account is active; deletable upon verified deletion requests where feasible
- Calendar tokens — deleted when you disconnect Google Calendar or when the account is deleted
- Bookings — retained while needed for your records and service continuity; removed or anonymized with account deletion where practicable
- Logs — typically retained for a limited operational period for security and debugging
6. Sharing
We do not sell personal data. Data is shared with subprocessors only as needed to operate the Service (e.g. Railway, Cloudflare, Twilio, Deepgram, OpenAI, auth provider), or when required by law. Details are in the Privacy Policy.
7. Your choices
- Update or delete organization content in the dashboard where controls exist
- Disconnect Google Calendar from Integrations to remove stored OAuth tokens
- Request account deletion via Settings or privacy@easigent.com (
DELETE /v1/me) - Revoke Google access at myaccount.google.com/permissions
8. Updates
We may revise this Data Collection Policy by updating the effective date on this page. Material changes will be reflected here; continued use of the Service after an update constitutes acceptance where permitted by law.
